SPONSORSHIP SUBMISSION GUIDELINES & DEADLINES

We would like to remind you of some very important deadlines. Please review your letter of agreement to see which deadlines correspond to your sponsorship level.

Sponsorship Package Registration will commence on April 19 and run through October 1.

* Deadline for all materials for inclusion in the program book including welcome letters & print ads is September 14. The USHCC does not guarantee Program Book recognition unless this deadline is met. Sponsorship packages purchased after this date will not include this benefit.

COMPANY SPONSORSHIP PACKAGE COORDINATES

THE USHCC WILL NEED THE FOLLOWING INFORMATION TO PROCESS YOUR SPONSORSHIP PACKAGE:

  • Company’s primary contact for its needs and/or questions as an event sponsor
  • Company’s primary contact for coordinating participation of company’s executive on location in Miami

HIGH-RESOLUTION COMPANY LOGOS

THE USHCC WILL NEED THE FOLLOWING INFORMATION TO MOVE FORWARD WITH EVENT MARKETING EFFORTS:

  • Your company logo and all applicable information for designers in terms of placement rules and regulations, etc. (if applicable)
  • Your company contact for approval of logo usage in marketing materials

ALL LOGOS MUST BE HIGH RESOLUTION AND PROVIDED IN ONE OF THE FOLLOWING FORMATS:

  • Resolution 300 dpi
  • EPS is preferred, JPEG & TIFF in CMYK will be accepted
  • Size no smaller than 3″ wide

SOCIAL MEDIA SUPPORT

Social media posts and email blasts are benefits for Signature, Diamond, Platinum and Corporate Chair only. When promoting the 2016 National Convention through your own outlets please use the hashtag #USHCCMiami

FACEBOOK

  • Please provide all language for posts, including links and hashtags.
  • Every post should be accompanied by a graphic (JPEG format) or video.

TWITTER

  • Please provide all language for tweets, including links and hashtags. Remember to keep tweets at 140 characters or less.
  • Whenever possible, please provide graphics and/or video links.

EMAIL BLAST

  • Please provide all language, including links and hashtags.
  • If providing email in a PDF, file cannot be larger than 5MB. Please note: we would strongly encourage you to send as a JPG.
  • Every email blast should be accompanied by a graphic (JPEG format).

We promote videos on our YouTube page on a case-by-case basis. We also cross-promote

SPONSORSHIP & GUIDELINES SUBMISSION

SIGNED WELCOME LETTERS & PHOTOS

GUIDELINES FOR LETTERS INCLUDE:

  • Letters should be no longer than 300 words
  • Text submissions should be in Word or text file attachments
  • Digital signatures must be in EPS or TIFF format and no smaller than 3″ wide

GUIDELINES FOR PHOTOS INCLUDE:

  • Resolution 300 dpi web photos will not be accepted
  • JPEG, CMYK format
  • Size no smaller than 4″ x 6″

PROMOTIONAL ITEMS (CONVENTION BAG)

If your benefits include promotional items for inclusion in the 2016 Convention bags, please confirm your intentions by September 9. All Promotional Items should be shipped to the following address to be received no later than September 21.

SPONSOR ATTENDEE REGISTRATION

Sponsorship Package Registration will commence on April 19 and run through October 1. The deadline to register attendees associated with each package is October 1. Names must be submitted to nc16@elitegroup.events.

For questions on registering your attendees to make name changes after October 1, please contact nc16@elitegroup.events.

DVD COMMERCIALS

Guidelines for commercials are as follows (applicable sponsorship benefits only):

  • The commercial must be produced by the sponsor
  • The commercial can and should promote a product or service of your company
  • Company can choose the speaker in the commercial
  • The commercial cannot contain political or comparative messages
  • The commercial must be approved by the USHCC in advance
  • The commercial must be provided in a DVD format and does not need to be in loop format
  • Language preference is English, although you may use Spanish with English subtitles
  • All commercials need to be received by the date above. Please mail all commercials to the following address:
